Apple Notes is your new best friend, let me explain why! If you’ve ever been halfway through a grocery shop only to realise you forgot something really important, like milk, then let me introduce you to a no-brainer system. Apple’s Notes app isn’t just for jotting down random thoughts or to-do lists. It can actually be a game-changer for your family grocery list. And trust me, once you start using it, you’ll wonder how you survived without it.
Now, you might have landed here after finding my Google Keep for shopping lists post, which used to be my go-to app. Sadly, Google has discontinued Keep and so here we are…after trying several apps, I landed on Apple Notes and it has been working just as well.
Imagine this: no more texting your partner a grocery list, no more “Wait, did we already buy bread?” moments. Instead, everyone in the family can have real-time access to the shopping list and update it as items run out.
I’m talking about full-on divide and conquer mode at the store. This is how we do it, it cuts down on the time in the supermarket and nothing gets missed. My husband starts at one end of the aisles, I start at the other, and we meet somewhere in the middle, ticking things off as we go. The Apple Notes app makes this seamless!
First I’ll share how we set it up and then my big tip for never forgetting anything again!

Why Use Apple Notes for Your Family Shopping List?
First off, it’s super easy to use, and most importantly—it’s free! You already have it if you’re an Apple user, and if your whole family is in the Apple ecosystem, this will work like a dream. With the ability to create collaborative notes, you can have a grocery list that anyone in the family can add to or check things off, all in real-time. Whether it’s quick notes or more detailed lists, you can make the grocery experience less stressful and more organised. Yay.
It’s also one of the best note-taking apps because it’s simple yet packed with features. You don’t need any third-party apps or fancy setups; the built-in audio recording feature, note organisation, and ability to create collapsible sections make it incredibly versatile for many uses, including, of course, the all-important grocery list.
How to Set Up Apple Notes as a Family Grocery List
Ready to take your shopping to the next level? Here’s a step-by-step guide on setting up Apple Notes for grocery list domination:
1. Create a New Note for Your Grocery List
- Open the Apple Notes app on your iPhone or iPad.
- Tap the New Notes icon (the little square with a pencil).
- Title it something simple like “Family Grocery List” or go creative and call it “Mission Weekly Shop” Your choice.
2. Share the Note with Family Members
- Once your list is created, tap the Share Button (that little square with an arrow pointing upwards).
- Choose “Add People.”
- Select how you want to invite people—via Messages, Mail, or AirDrop if they’re nearby.
- Now, everyone you invite can add items to the list or check things off. Real-time collaboration at its finest!
- Get everyone to pin the note, this means it will always be at the top and easy to find. No excuses!

3. Organise the List into Categories
- Divide the list into different categories like “Produce,” “Dairy,” “Bakery,” etc. This helps when you’re shopping, and it makes the whole “divide and conquer” strategy easier. I use this option for different stores.
- You can even change the type text of sections to keep things neat.
- The other thing I do is jot down what I’d like to make over the week, it’s not set in stone but keeps me focused whilst we are shopping. Japan is very seasonal so sometimes I’ll plan to make something but then find the ingredients are not in stock, so I need a certain amount of flexibility.
4. Use the Apple Notes To-Do Lists Feature
- Turn your list into a checkable list by tapping on the checklist icon at the bottom. This way, items will be easier to check off, and everyone can see what’s been done in real-time.
- The checked-off items automatically move to the bottom of the list—nice touch, Apple!

5. Add photos to Apple Notes
- If you want a specific brand or if like me, you’re living abroad and sometimes need a photo to remind you exactly what it is you need to buy, you can easily drop a photo in from your camera roll. If you don’t have a photo but have found one online, take a screenshot, save it to your camera roll, then add it.

6. Instantly add recipe ingredients
This works brilliantly for any recipe with a long list of ingredients of things that you don’t usually have in stock.
- This one blew my mind. Go to your recipe ingredients. Click the camera icon at the bottom of the app, then Scan Text. Point the camera to your recipe, it will show ‘corners’ around the text then press ‘insert’ and it will add the text to your note.

But don’t stop there. Hold your finger down on the text and use the nodes to select the ingredients, once they are highlighted, hit the To-Do list icon and it will turn your ingredient list into a shopping list. Quickly check off anything that you already have.

7. Access on All Apple Devices
- Make sure everyone has the grocery list on their Apple devices. Whether it’s on an iPhone, iPad, or Mac, as long as everyone’s signed into their iCloud account, the list syncs across devices.
- For easy access, you can pin the note to your home screen for quicker reference when you’re at the store.
Bonus Tips for Using Apple Notes for More Than Just Groceries
If you’re already a heavy notes user, there are other powerful new options within the app that can take your note-taking process to the next level. Here are a few extra ways to optimise your Apple Notes:
– Audio Recordings: You can use the built-in audio recording feature for those moments when typing is too much. You could even record a voice note reminding yourself to pick up the milk next time!
– Smart Folder: Apple’s latest update introduced Smart Folders, which automatically organises your notes based on tags. So, if you frequently make shopping lists, create a smart folder that pulls all your grocery-related notes into one place.
– Files App Integration: You can also link specific notes or items from your Files app if you need to keep receipts or important information handy for your next grocery run.
Why Apple Notes Is One of the Best Note-Taking Apps for Families
The Apple Notes app is genuinely one of the best note-taking apps out there, not just because it’s simple but because it works across the entire Apple ecosystem. You can use it for so much more than shopping lists—quick notes, planning your week, organising travel, and even keeping track of important information.
And let’s be honest, there’s a good chance you already have a lot of notes cluttering your app. But with a grocery list in there too, you’ll feel like you’ve taken a long way towards getting organised.
Why This Works for Families
Having a shared grocery list that everyone can access is a great way to build teamwork within the family. You avoid duplicate purchases, ensure everyone’s preferences are accounted for (no more complaints about forgetting someone’s favourite snack!), and it saves time when you’re in the store.
And let’s be real, managing a family is no small task, so any tool that can make things run more smoothly is a win. Plus, the collaborative aspect encourages everyone to contribute. It’s a simple way to teach kids responsibility—like adding to the list when they finish the last of the cereal or remembering to grab the toothpaste before it runs out.

Never run out of anything again
This is my ninja trick which, once you have the family trained, will change everything!
The rule is, “When you open a new thing, you also add it to the shopping list”
Getting a new box of cornflakes out? Add it to the shopping list.
Opening a new toothpaste? Add it to the shopping list.
Opened the last carton of milk in the fridge? Add it to the shopping list.
This means that you are stocking up BEFORE you run out and so you never have* a critical crisis where you are all out of toilet paper!
AND… because no-one is every more than 50cms from a gadget, if you are up to your elbows in washing up, you can just shout “can someone stick washing up liquid on the the list?” and wait until you have an OK.
*Alright, it’s not 100% foolproof but if everyone sticks to the rule it pretty much is.
Final Thoughts
There you have it, using Apple Notes as your family grocery list will take your shopping trips from chaos to calm. No more mid-aisle panics, no more endless texts. Just real-time updates, audio recordings for when you’re too busy to type, and the chance to divide and conquer the store.
